This policy covers visitors to our website and enquiries made using its contact details. It does not cover research participants or information processed in delivering client projects, for which separate information is provided where appropriate.

What we collect and why
When you email or call, we receive the information you choose to share, such as your name, work contact details, organisation and enquiry. We use it to respond, understand your requirements and keep a record of the conversation. Our lawful basis is our legitimate interest in handling business enquiries. Where you personally ask us to take steps towards a contract with you, we may instead rely on those pre-contract steps.
Providing enquiry information is voluntary, but we need sufficient detail to respond. Please avoid sending sensitive personal information unless we have agreed a suitable way to receive it.
Our hosting and security providers process technical information such as IP addresses, request times, requested pages and browser information to deliver and protect the website. Our legitimate interest is maintaining a reliable, secure service and investigating misuse.
We do not currently run newsletters, advertising pixels or visitor analytics tools on this website. We do not sell visitor information or use it for automated decisions with legal or similarly significant effects.
Who receives it
We use Microsoft 365 for email and enquiry records. The website is hosted through OpenAI Sites on Cloudflare infrastructure. These providers process information needed to provide their services. Access within Influential is limited to people who need it to handle your enquiry. We may also share relevant records with professional advisers or authorities where necessary to meet legal obligations or establish, exercise or defend legal claims.
Processing outside the UK
Our providers operate internationally, so information may be processed outside the UK, including in the EEA and the United States. Applicable provider arrangements use recognised transfer safeguards, such as UK adequacy regulations or approved contractual safeguards where required. Contact us for information about the safeguards relevant to your enquiry. Microsoft describes its arrangements in its data protection terms; Cloudflare provides privacy and data protection information.
How long we keep it
We normally delete routine website enquiries within 12 months of the last meaningful contact. If an enquiry becomes client work, relevant records move into our client recordkeeping arrangements. We may retain specific records longer where needed for an ongoing complaint, legal obligation or legal claim, reviewing that need when the matter ends.
Technical and security records are retained according to the hosting providers’ service settings and the time needed to maintain security, investigate incidents or meet legal obligations. Backup copies expire through the relevant provider’s backup cycle.
Your choices and rights
You can ask to access or correct your personal information, or request its deletion or restricted use. Depending on the circumstances, you may also have a right to data portability. If we rely on consent in future, you can withdraw it without affecting earlier lawful processing.
Your right to object: you can object to processing based on legitimate interests for reasons relating to your circumstances. Email legal@influentialmarketing.co.uk.
We normally respond to rights requests within one month, without a fee. We may need to verify your identity. If a permitted extension or exception applies, we will explain it.
